Campaigns

A Campaign is a collection of data that helps track a marketing event. A Campaign has a Start Date, an End Date, and several monetary fields. There are several campaign types, but the most popular are email campaign and telesales. In both of these popular campaign types, the CRM helps automate the process. All campaigns contain one or more Target Lists.

An Email campaign includes a collection of Tracker URLs and a collection of Email Marketing records that map an Email Template to a Target List and an Outbound Email record. In this scenario, the Target List is the recipient of the campaign, the Email Marketing record is what is being sent to the recipient and the Tracker URLs track the effectiveness of the campaign.

A Telesales campaign includes a collection of Call Marketing records that are used to pre-generate a series of call records based on the Call Marketing Start Date, End Date and Duration.

A campaign has a status page that displays recipient activity. For an Email campaign, you can see who viewed the email, which links were clicked and which emails bounced.

Field Description
Name The name of the record.
Assigned To The user that is the owner of the record.
Status The status of the campaign.
(i.e. Planning, Active, Inactive, Complete)
Team The team or teams that the record is a member of.
Start Date The start date for the campaign.
End Date The end date for the campaign.
Campaign Type The type of the campaign. An email campaign will send out emails and a telesales campaign will create call records.
(i.e. Telesales, Mail, Email, Print)
Currency The currency used by the monetary campaign.
Impressions The expected number of impressions.
Budget The budget for the campaign.
Actual Cost The actual cost of the campaign.
Expected Revenue The expected revenue of the campaign.
Expected Cost The expected cost of the campaign.
Objective The objective is metadata about the campaign that helps describe the goals.
Content The content is metadata that helps describe the content.
Tracker Text The tracker text is metadata that can be used anyway that you want.
Refer Url The refer URL is metadata that can be used anyway that you want.

Targets

At the bird's eye level, there are three stages of a customer. In the outer-most stage, you have a list of customers that you like to connect with. We call these outer-most customers as Targets. Once you connect with your Target, via some campaign or by the Target contacting you direct, we convert the Target to a Lead.

The fields of a Lead are very similar to that of a Lead. The only required field is the Last Name. If there are any fields that are not used by your business, we encourage you to go to the Admin Layout area ad remove them from the layout. Simplifying the CRM is one sure way to increase productivity.

Field Description
First Name The saluation for the target.
(i.e. Mr., Ms., Mrs., Dr.)
Office Phone The main office phone number.
Last Name The last name of the target. The last name is typically a required field.
Mobile Phone The mobile number.
Home Phone The home phone number.
Other Phone An alternate phone number, such as 1-800.
Title The corporate title of the target.
Fax The fax number.
Department The department within the organization.
Email Address The main email address. This is the email address used in email campaigns.
Birthdate The birthdate of the target.
Other Email Address An alternate email address.
Assistant The name of the assistant of the target.
Assistant Phone The phone number for the assistant.
Do Not Call The Do Not Call suggests that this target should not be called.
Email Opt Out The Email Opt Out flag is honored when sending out email campaigns.
Team The team or teams that the record is a member of.
Assigned To The user that is the owner of the record.
Invalid Email The invalid email flag is typically set when an email to this target bounces back as invalid.
SMS Opt In A target must opt-in to receive Text messages.
Address Information
Primary Street The primary street address for the target. This is a mulit-line field.
Alternate Street The secondary street address for the target. This is a mulit-line field.
City The primary city.
City The secondary city.
State The primary state or province.
State The secondary state or province.
Postal Code The primary zip code or postal code.
Postal Code The secondary zip code or postal code.
Country The primary country.
Country The secondary country.
Description Information
Description A description of the record.

Target Lists

A Target List is a collection of Targets, Leads, Contacts or Users. Records can be added to these collections manually, or, if running the Professional or Enterprise edition, records can be added dynamically.

The Type of the Target List will determine how it is used. A Default list is one that is the main type that allows the collection to be used as the recipient of the campaign. A Test list is intended to allow you to send a test email to just this collection.

A Target List can also be used to exclude recipients by domain, email or ID.

Field Description
Name The name of the target list.

Team The team or teams that the record is a member of.
Dynamic List
Description A description of the record.

Dynamic Target Lists

A Dynamic Target List is a type of Target List that gets populated from a query.  The list can be populated from Contacts, Leads, Targets or Users.  You can filter by date, status, region or any other property of the record.

 

Email Marketing

The Email Marketing record is the link between the Campaign, the email Mailbox, the Email Template and the Target Lists. The Email Marketing record can include all Target Lists in the Campaign or just a select fiew.

Field Description
Name The name of the record.
Status Text The status determines if this record is included in the campaign.
(i.e. Active, Inactive)
Use Mailbox The email mailbox used to send out the emails.
From Name The name used in the email address of the sender.
Start Date & Time The date and time when the emails will be sent out. This field is used to have emails sent out late at night.
Email Template The Email Template to use.
All Target Lists If All Target Lists is not selected, then each target list to which these settings will be applied must be selected manually.
Reply-To Name The Reply To Name is an SMTP value used to redirect recipient responses to an email other than the sender.
Reply-To Address The Reply To Address is an SMTP value used to redirect recipient responses to an email other than the sender.

Email Templates

An Email Template is typically used in an Email Campaign, but it can also be used when sending any email. An Email Template can contain insertion fields for the parent record. You can use insertion fields to insert a contact's name.

The format for an insertion field is ${module name}_{field name}. The insert field should be prefixed by the dollar symbol and should be all lowercase.

Name The name of the email template.
Description A description of the record.
Subject The subject of the email.
Body The body of the email. It can contain insertion fields.
Read Only Read-only flag for the template.

Tracker URLs

Tracker URLs are used in Email Campaigns to track if a user has clicked on the link. Instead of placing a URL directly in the Email Template, the URL is registered as a Tracker URL and the name of the tracker is used in the Email Template. When the campaign email is generated, the name is replaced by a link in the CRM that will redirect to the desired URL, giving the CRM the opportunity to count the click.

Campaign Name
Tracker Name The name of the tracker. In HTML, use format {name}.
Opt Out An opt-out link requires a special URL.
Tracker Url The URL that the user will be redirected to.

Call Marketing

The Call Marketing record is the link between the Campaign and the Target Lists. When the calls are generated, the Start Date, End Date and Duration are used to space out the calls across the user or team.

Field Description
Call Name The name of the record.
Status The status determines if this record is included in the campaign.
(i.e. Active, Inactive)
Subject The generated calls will have this subject.
Distribution The technique used to distributed the calls.
(i.e. Assign To User, Assign To Team, Round Robin)
Assigned To The user that is the owner of the record.
Team The team or teams that the record is a member of.
Start Date The generated calls will begin at this Start Date, and be separated by the duration.
Duration The generated calls will last this many hours.
End Date The generated calls will end at this End Date.
All Target Lists If All Target Lists is not selected, then each target list to which these settings will be applied must be selected manually.
Description The generated calls will have this description.
