My Emails shows records that are Unread and either Archived or Inbound.  It typically shows records assigned to the current user, but the settings dialog allows selection of other users. This might help: http://support.sugarcrm.com/Documenta...

Is this Community, Professional or Enterprise? If this is Community, then it sounds like User Assignment is Required and this will prevent anyone other than the assigned from seeing the email.  You would need to disable this security feature in order for all to see the records. If this is ...

You can use the Classic Mode layout editor to do that.  You should find it from a link on the menu.

If you know SQL, then it can be done directly in the database using SQL Studio, otherwise, you will need to re-import into leads.
